Students interested in providing health information or counseling to the public, or performing a hands-on procedure at any community or health event that is not part of a class, are required to obtain approval first from the DPT program directors, and then get sponsorship and approval for the event from a registered campus organization (RCO) through the Student Life Group Portal. This is to ensure that professional liability coverage is in place for the student, school(s), and campus involved in the event.
At all sponsored events, students are required to identify themselves as students by wearing their UCSF badges. Participation must be supervised by a UCSF faculty member whose scope of practice is appropriate for the activities of that health fair.
In order to request approval to participate in or organize any health event, please follow these instructions:
- Identify and contact faculty members to confirm their agreement to supervise and participate in the entire event.
- Provide event details and faculty supervisor contact information to the program directors for written approval.
- Identify names and year of study of all students who will be participating in the event.
- At least three weeks prior to the event*, submit 2 required forms in the Group Portal:
- Both student organizers and faculty supervising the event must complete training in the Group Portal to ensure that all parties understand the policies and process for participating in community health outreach events.
- Student Life will request approval from the School through the system. Approval is communicated to the students coordinating the event via Campus Groups.
- Once approved, two weeks in advance of the event and ONLY if supplies are needed, organizers must then complete Health Fair Supplies Form. Do not complete the Health Fair Supplies form if supplies are not needed.
*Delays may result in the event not being approved. An event cannot take place unless this notification is received. Failure to follow the procedures and/or policy will result in the event being cancelled in Campus Groups.
